Key Dates & Submission Deadlines
Meeting these deadlines helps us showcase your expertise effectively and ensures your presentation runs smoothly. Each submission allows us to create cohesive marketing materials, prepare technical resources, and give you valuable feedback before you take the stage.
Monday, July 14: Speaker bio, professional headshot, and company logo submission deadline
Monday, August 11: Draft presentation submission for review
July 15, 2025: Registration deadline (using your speaker discount code)
Tuesday, August 12: Hotel block discount ends
Book accommodations ASAP! Our conference block will fill up quickly, and local rates are expected to be high that week.
Friday, August 29: Final presentation slides deadline
September 8-11, 2025: eSummit 2025 at Renaissance Minneapolis Hotel, The Depot

Headshot Specifications
We want you to look your best! These digital-optimized recommendations will ensure your headshot looks professional on the eSummit website, digital program, and social platforms while maintaining fast loading times and visual consistency.
Resolution/Size:
72-150 DPI (web resolution)
Dimensions: 800 x 800 pixels minimum
File size: 0.5-2 MB (optimized for web without losing quality)
Format:
Save images in JPEG or PNG format
Use RGB color mode
Avoid transparent backgrounds
Style Guidelines:
Professional appearance (business or business casual attire)
Head and shoulders framing
Well-lit face with neutral background (white, gray, or blue backgrounds work best)
Recent photo (taken within the last 5 years)
Avoid selfies, cropped group photos, and overly casual vacation pictures
Natural expression (professional smile recommended)
No heavy filters or extreme editing

Bio Format and Content Guidelines
Please provide a professional biography that highlights your expertise and experience relevant to your session topic. This will be used throughout the event program, app, and website.
Word count: 250-word limit
Written in third person
Example: Jane Smith brings 15 years of expertise to her role as Chief Innovation Officer at GreenITAD. She and her team work to create new electronics reuse solutions that...
Include your current position and organization
Highlight relevant experience, expertise, and accomplishments
Mention any significant publications, awards, or industry contributions
Avoid overly promotional language – the eSummit is an opportunity to educate and inspire, not to sell
Submit as a Word document or plain text file
Presentation Formatting & Resources
All speakers and presenters are asked to:
Submit their presentations in advance (August 29)
Bring a copy on a USB drive to the event (September 8 – 11)
The template below is available to help you create a presentation that aligns with the overall look and feel of the conference.
While using the template is optional, every presentation must include the standardized title and closing slides. This ensures smooth transitions between speakers and provides a cohesive brand experience for attendees.

Technical Requirements
To ensure consistency and compatibility with our audiovisual system, please follow these requirements:
Use a 16:9 aspect ratio for all slides and videos
Submit files in PowerPoint (.pptx) format only
Embed any videos in your PowerPoint
Label your file using this format: LastName_SessionTitle.pptx (Example: Smith_EmergingTech2025.pptx)
Day-of-Event Speaker Guide
Being prepared and on time ensures a smooth experience for both you and your audience. Here's what you need to know for the day of your presentation:
Arrival & Check-in
Arrive at the venue at least 60 minutes before your scheduled session time
If you haven't yet registered, please do so at least 45 minutes before your scheduled session.
Be in your assigned session room 15 minutes before your session begins.

Time Sensitivity
The eSummit agenda is carefully crafted and tightly scheduled. Please respect your fellow presenters and attendees by adhering to your session’s specified time limits. We also recommend familiarizing yourself with the venue layout upon arrival at the Renaissance Minneapolis Hotel, the Depot, to ensure you can locate your session room with plenty of time to spare.

Your eSummit presentation is an opportunity to educate and inspire, not to sell. Here are some key guidelines to help you create compelling content that resonates with our audience:
Focus on Education, Not Promotion
Share insights, experience, and knowledge that attendees can apply
Limit mentions of your company's products or services to relevant examples only
Remember that the most effective speakers build credibility through valuable content, not sales pitches
Any presentations that come across as overly promotional may be returned for revision

Focus on one big idea rather than trying to cover too many topics

Include actionable takeaways that attendees can implement

Plan to use 80% of your time for presentation and 20% for Q&A

Be respectful of attendees' time by ending punctually
